Shop settings
Seven tabs. Each one has a single job, so the name should tell you whether what you're looking for is in there.
| Tab | What's in it |
|---|---|
| My Account | Your own login and password, your hours and pay, and light/dark theme. This is you, not the shop. |
| Shop Profile | Legal name, owner name, phone, email, address, logo, receipt footer. Everything that prints on customer documents. |
| Team & Roles | Technician accounts, what each role can see, and per-person cost rates. |
| Work Orders | WO and customer numbering, statuses and their customer wording, status emails, invoice message, policy attachments. |
| Money | Labor rate, sales tax, travel and mileage, shop fees, Square. Details → |
| Data & Photos | Photo storage and the optimizer — how much space your photos take. |
| Plan | Your tier, what each includes, and integrations. |
Worth getting right early
Sales tax rates and what's taxable
Money. Wrong rates mean every job is wrong. See Money & sales tax.
Work order numbering
Work Orders. Prefix, separator, padding and starting number. Change it before you build up history — it only affects new work orders, so changing it later leaves you with two formats forever.
Your shop email address
Shop Profile. Customer replies to status emails come back to this address. Point it somewhere you actually read.
Which statuses email customers
Work Orders → Status Manager. Ready for Pickup and Awaiting Customer Approval are on by default and both earn their place. Turn more on carefully — an email per status change reads as noise and people stop opening them.
Technicians and My Account
Technicians can't open Shop Settings. They get My Account as its own item in the menu instead, which is where they find their own hours, pay stubs and password. Nothing about the shop's configuration is reachable from there.
Policy documents
Work Orders. Upload the documents you want attached to invoices — warranty terms, storage policy, the note about machines left over 30 days. Each can be toggled on or off per document, so they go out with every invoice without you remembering.
Photo storage
Data & Photos. Photos are the biggest thing your shop stores. The optimizer shows how much space they're using and can shrink oversized ones. Photos are worth keeping — they're evidence — so shrink them rather than deleting them.
